As the Specialist - People Services you will be overlooking at all day to day operational HR related issues for employees & associate company by providing support in any aspect of HR operations;
welfare reporting on employee’s issues; HR reporting; advises on policy administration; and manages repatriation process for expatriate employees leaving the Company.
Core Responsibilities : HR Services Delivery
HR Services Delivery
Provide high quality and consistent HR advice and end to end HR transactional services to the Forces in line with policy and service agreements ensuring that legal requirements are met.
Develop and monitor standard HR operating procedures to ensure a high quality and consistent service delivery.
Monitor escalation of queries to improve front line services and support
Build and maintain collaborative and professional partnerships with HR colleagues, managers and other key stakeholders across the company.
Utilise technology to improve service delivery whenever possible
Provide reports and statistics as required on the performance of the team or the company
New Joiner Management
Schedule the joining date of the new joiner in coordination with the On-boarding Specialist.
Prepare personal file folder of documents submitted by the new joiner. And work on electronic profiling including preparing employment contracts both Ooredoo and Ministry of Manpower version prior to the joining date.
Add new joiner in the HRMS system, for local new joiners, request PASI registration through HR - External Relations Team.
Ensure that the new joiner has been added in the medical insurance and Group Life / Workmen’s Compensation policies and medical card is ready prior to the joining date.
Provide the salary package and bank account details to People Rewards Team to update the system and for payroll purposes.
Managing the probation evaluation cycle
Find system and process enhancements on the day to day work to enhance the employee experience.
Employment Contract Management
Ensure that the employment contract for international hire employee has been initiated on time.
Signed and renewed / extended contract must be filed on employee’s personal file folder together with the approved initiation process.
Prepare Notice of Contract Completion letter for non-renewed contract of an international hire employee.
Relocation process to be performed through E-Business Suite system
Keep an updated report in the system through BI and other HR systems
Employee’s separation in the Turnover Rate and Separation Report for the month.
Undertake regular reporting to monitor and record employee’s activities as may impact on business activities.
Contractor Management & Supporting HR operations for associate company
Managing associate HR Operations in : Hiring Personnel ( Contracts, Medical, Visa, payments, insurance, travel) Other related operations
Manage and or Support the hiring of contractors ( Recruitment)
Ensures all vacancies are filled with the suitable candidates within the targeted time.
Insure resourcing is done as per agreed process (Advertising, Screening, Interviews, Offering, Responding back, Advertising / Selection / Negotiation / Offer)
Manage the contractors and reporting in the system
Manage Visa / medical / operations / POs / PRs of the contractors
Managing their exits
The Person :
To apply for this position you should have the followings :
Degree in HR, CIPD / SHRM preferred.
Good and demonstrable experience in Interpretation of HR policies and processes, including Omani Labour Law
Fluent in written and spoken English and Arabic
Determined and ability to follow up on issues - results driven
