The main responsibilities of this job holders is to include scheduling meetings, making travel arrangements and organizing daily calendars.
To be successful in this role, you should be proactive, meet deadlines and communicate effectively.
Coordinate daily calendars of senior managers.
Plan appointments and events.
Act as the point of contact between executives and employees / clients.
Create regular reports and update internal databases.
Make travel arrangements.
Manage phone calls and emails.
Respond promptly to managers’ queries.
Facilitate internal communication (e.g. distribute information and schedule presentations).
Suggest more efficient ways to run the office and troubleshoot malfunctions.
Review and recommend changes to our company policies.
Qualification, Experiences and Skills :
Diploma in Secretarial studies or Business Administration or other relevant qualification.
7+ years’ experience as a Senior Administrative Assistant.
Demonstrated knowledge of digital office technology including electronic records management systems and communications systems.
Demonstrated knowledge of medical terminology and hospital operations.
Strong organizational skills and knowledge of administrative policies and procedures as applied to academic medical institutions.
Strong interpersonal and communications skills and proven ability to work effectively at Executive level with a wide range of staff in a busy hospital environment.
Demonstrated proficiency with Microsoft Office suite.
Excellent keyboard skills (minimum 60 words per minute) with a high level of accuracy
Fluency in written and spoken English.
