OPERATIONAL 1 Maintains Managers calendar and ensures the concerned parties are properly informed 2 Creates transcribes and distributes meeting agendas and minutes 3 Receives directs and relays telephone messages emails and faxes properly and in a timely manner 4 Communicates information to the appropriate departments clients on behalf of the manager in a timely manner 5 Meets and greets clients and visitors 6 Manages and maintains efficient systems for the storage and prompt retrieval of information correspondence files etc in accordance to the company s procedural standards 7 Performs general clerical duties photocopying faxing mailing filing etc 8 Plans and arranges for meetings conferences and conference telephone calls for the management and keeps all parties adequately informed 9 Generates written communication properly with minimal heading directions from manager 10 Conducts research compiles data and prepares reports and presentations for the management 11 Meets with individuals groups and other on behalf of senior management 12 Reads and analyses incoming memos submissions and reports to determine their significance and plan their distribution internally and externally 13 Manages the travel and accommodation arrangements for the manager department team PEOPLE MANAGEMENT 1 Assists in training newly hired secretarial Administrative staff Other duties and responsibilities as assigned by the Management
