About the Job :

The provides a range of administrative, logistical and organizational support to the SVP Discover Qatar as well as the wider team.

They will be required to manage and evaluate administrative requests from within the department, ensuring all requests are within the corporate guidelines, including but not limited to proposals, manpower movements, employee leave requests, employee duty travel requests, ticket rebate requests and agency related proposals.

The role also supports the preparation of reports and handles special projects related to the activities of the department.

Role Responsibilities

  • Manage and co-ordinate internal and external communications including handling all calls to the SVP’s office in an efficient and professional manner.
  • To independently manage the correspondence with internal as well as external parties, based on guidelines, and outlines set by the Senior Vice President and / or Team Managers.

  • To act as the first point of contact for incoming queries from all internal and / or external stakeholders. To record, filter, disseminate and communicate all incoming and outgoing matters, taking follow up action where appropriate.
  • To act as the link between the department and other related departments, as well as external stakeholders.
  • To provide administrative support to the SVP and the team including answering phones, distributing post, word processing, preparation of power point presentations, drafting of letters / memo’s, electronic communications, minute taking, setting up and maintaining excel spreadsheets, management of databases, file management and full diary management support for the SVP.
  • Responsible for generating business documentation, including but not limited to report writing, presentation creation and spread sheet preparation and distribution.
  • To make travel and hotel accommodation arrangements in line with the agreed guidelines and procedures.
  • Responsible for supporting the line management and department in delivering planned projects, within a specified deadline, in terms of documentation, follow ups, task coordination.
  • About You :

    You should hold a Degree with minimum of 4 years of relevant job related experience within a fast moving, multi task environment.

    You should have advanced knowledge of MS Office skills (MS Outlook, Excel, Word, Power Point and Visio).

    We are looking for someone who has excellent communication skills (verbal and written) along with a high attention to detail and quality.

    You should have previous experience of supporting Senior / Executive Level Management. You should have knowledge of Oracle ERP systems and have strong time management and organizational skills.

    You will be a proactive and strategic planner with the ability to self-organize, manage time, prioritize work and meet deadlines.
