  • Under thesupervision of the Chief of Staff (CoS), provides administrativesupport for activities relating to the Dean’sOffice.
  • Job Responsibilities

  • Responsible for covering the college’s MainReception desk to assist visitors with their queries relating toWCM-Q, either by providing information based on own knowledge ordirecting the query to other staff or faculty members asappropriate.
  • Responsible formanaging the college’s trunk line to assist callers withqueries relating to WCM-Q, either by providing information based onown knowledge or directing the query to other staff or facultymembers as appropriate.
  • Providesadministrative support to the Dean and CoS in a collaborativeeffort with other Dean’s Office team members.
  • Schedules and coordinates meetings, events,travel arrangements and other tasks as assigned according to thedivision’s established procedures.
  • In a collaborative effort with otherDean’s Office team members, responsible for accurate,on-time completion of all tasks related to the Dean’sacademic licensing and Qatar residency requirements.
  • Responsible for updating and maintaining thedivision’s contact lists.
  • Coordinates and confirms local transport requests forDean’s Office team members and guests asassigned.
  • AssistsDean’s Office team members in the preparation of thecollege’s administrative forms (e.g., reimbursements,leave requests, etc.) as assigned.
  • Responsible for maintaining the document filing systemfor the Dean’s Office (soft and hard copies) according tothe division’s established procedures.
  • Maintains an adequate inventory of office suppliesfor the Dean’s Office team and make orders asrequired.
  • Liaises withadministrative and academic offices at Weill Cornell Medicine-NY(WCM-NY),
  • Hamad MedicalCorporation (HMC), Sidra Medicine, Qatar Foundation and otherlocal / foreign institutions for activities relating to the Dean andoffice team members.
  • Providessupport to the CoS and other Dean’s Office team membersin all aspects of the planning and execution of small andlarge-scale events emanating from the Dean’s Office, suchas Joint Advisory Board (JAB), graduation activities andothers.
  • Receives and distributesthe Dean’s Office mail. Coordinates internal and externalmail flow in and out of the Dean’s Office.
  • Receives andsorts daily mail / deliveries / couriers.

  • Assists the Dean’s Office staff withtranslation from English to Arabic when needed.
  • Manages the room reservation system for theDean’s Office meeting rooms (B044 and C102). Approves orrejects reservations from other divisions and communicates thesedecisions accordingly to the relevant parties.
  • Participate in task forces and ad hoc workinggroups on relevant initiatives.
  • Performs other related duties as assigned.
  • Education

  • Bachelor's Degree
  • Experience

  • 3 or moreyears’ secretarial / administrative experience
  • Knowledge, Skills and Abilities
  • Fluent in spoken and written English andArabic.
  • Skilled in multi-taskingprojects and following through to accurate completion.
  • Excellent verbal, written and interpersonalskills.
  • Ability to develop andinitiate creative solutions to problems.
  • Excellent time management, strategic planning andorganizational skills.
  • Ability towork independently and as part of a team.
  • Adept with Microsoft Office software (e.g., PowerPoint,Word, Excel, Outlook mail and calendar).
  • Ability to anticipate needs and complete important taskswithout needing to be asked.
  • Ability to be resourceful in getting the tasks donethrough multi-tasking and creative thinking skills
