Processing InvoicesReceive Invoices fromSuppliers along with all necessary documents.Review the Invoicesalong with necessary documents (PO s, Delivery notes, etc.
andgather all relevant information from respective stakeholders.Enterthe Invoices in the ERP system and match it with relevant POs / Receipts / Releases.
Enter the relevant GL code (for Manual Invoicesnot matched to PO) based on the Chart of Accounts and review the GLcode (coming through approved PO) and ensure proper accounting ofthe transactions based on IFRS accounting standards and companypolicies and procedures.
Liaise with suppliers / stakeholders for anydiscrepancies with amounts or deliverables, based on inputs andfeedback received from respective Directorates.
Should requestrelevant credit notes / debit notes wherever required.Co ordinatewith suppliers to get the statement of accounts and reconcile thesame with the company s figures.
Support the Head of Accounting inprocessing transactions relating to Fixed assets in accordance toIFRSMaintain proper filing system for ease of retrieval and audittrail.
Co ordinate with the Head of Treasury to ensure payments areprocessed smoothly within the time frame of the company s approvedpayments policy.
ReceivablesRaise Invoices in ERP as and whenrequested by donors based on inputs from Fundraising team andrelevant Directorates.
Match the Receipts with the Invoices as andwhen funds are received in the account.Track all Open Invoices andfollow up with relevant stakeholders.
Enter Miscellaneous Receiptsas and when applicable based on bank account transactions.Ensuretransactions are entered with correct GL code.
Review FinancialReports of Projects and FinancialsReview the financial reports ofProject payments and ensure all supporting deliverables mentionedin the contract are attached to the payment request before enteringthe Invoice in the ERP systems.
Ensure all supporting documents arescanned and uploaded at each payment request.Liaise with respectiveDirectorates / Programs for addressing and resolving queries andconcerns raised by the company signatories for executing thepayments.
Review the financial reports of the company (IncomeStatement, Balance sheet, etc.) along with the Financeteam andprovide clarifications wherever necessary.
Reconcile sub ledgers andrectify errors in any.Support Budgeting TeamCoordinate withDirectorates / Department heads to consolidate Actualvs.
