Job Purpose : To Pioneer and lead the formulation of QIG’s Administration policies, strategies, and plans; and oversee their implementation and monitor their effectiveness including, but not limited to, General Services, Government Relations, Facility Management and other administration services assuring compliance and satisfaction of all internal customers.
Strategic : Own QIG’s Administration strategies and plans to achieve the organizational objectives. Develop and administer the annual business plan for the area(s) within the scope of responsibility in line with the approved Administration strategy and assure its implementation.
Establish effective dashboards for KPIs and score-cards to monitor and assure the effectiveness of the deployed Administration policies, strategies and plans.
Identify and effectively monitor and manage business risks for the area(s) within the scope of responsibility. Job Responsibilities : Operational : Assure the quality of the services provided by the area(s) within the scope of responsibility including, but not limited to, General Services, Government Relations, Facility Management and other administration services.
Assure the reliability of the processes and the timely delivery of the services by the area(s) within the scope of responsibility.
Set and administer proactive, effective, and sustainable measures, actions, and controls that assure the health, safety, and security of the facilities within the scope of responsibility.
Financial : Compile annual budget for the area(s) within the scope of responsibility in support of the business plan, other operational activities, and statutory requirements.
Monitor and control expenditure against approved departmental budget throughout the fiscal year. Assure the effective coordination of the payment process and maintain controls in line with the applicable policies and procedures.
Check and sign off on invoices to be sent to the finance department for payment to ensure providing the required authorization when necessary.
People : Develop and inspire cross-functional teams to implement the Administration strategy and achieved its goals. Create a positive and supportive work environment that encourages performance excellence, and establishes result-
oriented teams with common purpose, goals, and shared-values. Manage the performance of the Administration team and assure their compliance with the established policies, strategies & plans, and their contributions towards the realization of intended results.
Miscellaneous : Create and maintain a comfortable, healthy, safe and secure working environment, by providing cleaning services, security, maintenance, refreshment services, high quality equipment etc.
