Provide clerical and office support and assistance to department management of Hilton's newest resort and entertainment complex in Qatar.
The Salwa Beach Resort is to become one of the largest resorts in the Middle East. It spreads along a 3.5km pristine beach front on the southwest coast of Qatar.
Managed by Hilton, it will have 362 hotel rooms and residential units with private beaches, a world-class leisure and waterpark, sports club, marina, dive center, health club, spa, restaurants, cinemas and retail space.
The resort is scheduled to open in 2020 and can be found on Google and YouTube under its working title 'Salwa Beach Resort'What will I be doing?
In addition to performance of the essential functions, this position may be required to perform a combination of the following other duties, with the percentage of time performing each function to be solely determined by management based upon the particular requirements of the companyPrimary responsibility is to keep an accurate and up-to-date filing system, tracing of all business, correspondence, entering and upkeep the data Also answers the telephone and directs to proper person, and, if necessary, gives knowledgeable information about the property and departmentCo-ordinates and follows up with internal departments and liaise between all the outlets and the F&B ManagerFollows up on staff attendance, daily roster and all F&B staff related documents for the Dept.
Composes letters and maintains correspondence on behalf of the Director of F& Ensures all correspondence is filed in a methodical systematic basis for future follow upsAttends meetings, records and distributes the minutes and follows up on action items if requested by the F&B Manager Use a diary or to-do list for daily assignment / task Ensure that trace file is checked and action(ed) on a daily basisEnsures all outgoing correspondence is typed, proof read and distributed or sent to the highest possible standard.
Prepares letters, memos and other correspondences on behalf of F&B Director Maintains and follows up guest database regularlyAssists for internal F&B promotions and does the survey to forward the relevant information concerning the promotionImplements a daily follow up system and attends all trainings organized by the Hotel Maintains a database of contacts, which may be required by the ManagerPrimary responsibility is to keep an accurate and up-to-date filing system, tracing of all businessSets up a filing system for all relevant and important correspondence or documentsSets up a commercial database according to specific sources, updates and maintains the systems accurately Handles telephone calls as per the hotel standard and takes messages and priorities where necessary Maintains office supplies for the department Reports all unsafe conditions immediatelyAttends all mandatory meetings Maintains a good working relationship with other departments, employees, and guestsWhat are we looking for?
