JOB PURPOSE :
Provide ranges of admin and practical support to HSE Manager and employees within Department which covers producing management papers, presentations, reports, ensuring effective documentation within the
Department, facilitating communication and providing general assistance to employees to contribute to and enhance effectiveness and efficiency of the Department.
Management Documentation :
Plan and prepare the management documents for HSE Manager as consolidation of information from all Sections within Department, presentation material, tender works / scope and etc by collaborating with employees in the Department and using appropriate software and equipment to ensure needed and integrate information on the Department and ensure documents are available to HSE Manager for
his / her discussion, meeting, seminar and other business purposes.
Management Reports :
Analyses and prepare the management reports for HSE Manager through collaboration with sections within the department to collect data, analyses, interpret and summarize using most suitable tools such
pie charts, histogram and etc., and as well as advise HSE Manager on conclusions of analysis and take needed actions to facilitate Manager’s decision making.
Departments’ Support :
Organize, document and maintain files of correspondence, records, forms, applications etc for sections within the Department in accordance with department documentation requirements to ensure effective documentation for future reference.
Maintain, update and enhance electronic data records system including inputting routine data entries, processing and compiling of reports, checking formats for correction or improvement according to data management requirements and by developing and maintaining necessary database to ensure effective record keeping.
Is responsible for department communication including emails, faxes, memos and reports by reviewing them to determine and take appropriate actions to ensure the flow of communication.
logistic arrangements and etc. through coordination with Heads and all parties to provide day to day support to them within Department.
Customer Service :
Organize and expedite flow of work through Manager office and initiate follow-up action by receiving
and screening internal customers and their calls and answering employees’ queries in a timely and professional manner.
Department Focal Point and Support :
through collaboration with employees within Groups to facilitate their activities.
Safety, Quality and Environment :
