We are now looking for an Personal Assistant to Executive Director hat provides executive-level administrative support and operational coordination and supports the Executive director office in building strong relationships with internal and external bodies.
Key ResponsibilitiesActs as the Focal point of the Executive Director Office for both internal and external bodies.Manages the schedule of the Executive Director and works closely to keep him / her well informed of upcoming commitments and responsibilitiesRegularly checks with the office of the Managing Director for important events and meetings that require the Executive Director presence.
Organizes courtesy visits in coordination with Protocol and International Relations and SecurityKeeps records of important contacts both local and internationalEnsures that the biography of the Executive Director is updated and readily available when required for speaking engagements, publications, or as required by the meeting counterpartKeeps himself / herself informed of publications, press releases or social media platforms that feature the organizing committee, articles about the major project & event in Qatar, etc.
Handles business trip requirements of the Executive Director, such as private plane arrangements, protocol and security, visa and accreditation and other official documentation, Embassy counterpart coordination, and all logistical requirements necessary for smooth travel outbound and inbound.
Handles incoming (letters, emails, fax messages) correspondence addressed to the Chairman and operation mangers and business units headsWhen required, facilitates approval and sign off of outgoing correspondences and release it by email, delivered by hand or dispatch by post / courierCollaborates with the relevant division in preparing Key messages, speech for a speaking engagement, welcome messages, press release, etc.
when requiredCoordinates external bodies in securing feedback or sending queries on behalf of the Executive DirectorLiaise with the office of the Managing Director for reports preparation for Management Board Meetings, company Reports and other official reports required by government entitiesEnsures that the Office of the Executive Director has the appropriate office and technology equipment, Business Cards, stationary requirements, etc.
and is at hospitality standards to receive guestsMay perform other tasks that may be deemed necessary to provide an executive level office management.
Qualifications and experienceAt least 5 years experience in Office Administration and High-Level Executive SupportBachelor DegreeKnowledge of event planning and event project management processes is an advantageStrong IT skill including MS Office (Word, Excel, Visio, PowerPoint) and Social Media web platforms.
Must be fluent in English / or native speaker and (Arabic and French) is an addPlanning and Organizing SkillsExperience in handling High-
