Job Description
1. Organize CEO’s time and tasks
o Manage CEO’s calendar
o Arrange CEO’s appointments and meetings; prepare agendas; notify necessary parties
o Update and maintain CEO’s task lists
2. Coordination & Communication
o Be the main point of contact between the CEO and internal senior executives on all tasks and initiatives
o Prepare progress reports for the CEO on such initiatives and escalate when they are not going to plan
o Collect and present routine departmental progress reports to the CEO. Analyze them and report variances to plans. Insure staff adherence to agreed work standards and operating procedures.
o Conduct research on new business opportunities, products or markets for the CEO and present reports
o Check CEO’s incoming and outgoing emails, and respond to them when needed
o Sort and prioritise CEO’s correspondence, write and type his business letters
o Research information for reply messages where appropriate, both internally and externally
o Enter and update CEO’s contact list
o Attend CEO’s meetings as and when required; prepare meeting minutes and follow up on actions
o Review internal documents prepared by staff before passing them to the CEO
3. Research & Reports
o Gather information for reports, presentations, studies and decisions on various issues
o Draft, type, edit, format proofread and assemble reports, documents and presentations
4. Other tasks
o Handle CEO’s travel arrangements and plans
o Come up with initiatives to improve overall work effectiveness, and help develop procedures and systems to enhance work environment and general performance
o Carry out various other tasks and support related to CEO’s activities as required
o Assist admin staff in other tasks as needed
o Document the detailed steps of the position holder’s tasks and processes
