DohaPart-time, PermanentResponsibilities : *Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.

Input document data into the standard registers ensuring that the information is accurate and up to date.Generate the various document control reports as required.

Typing of site documents, and follow up of all the site needs.Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable.

Maintain updated records of all approved documents and drawings and their distribution clearly.Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.

Maintain the files and control logs as required by the project.Receive, direct and relay telephone messages and fax messages.

Direct the general public to the appropriate staff member.Maintain the general filing system and file all correspondence.

Assist in the planning and preparation of meetings.Maintain an adequate inventory of office supplies.Respond to public inquiries.

Type confidential documents on a word processing system.Provide support to the General Manager and other Senior staff members.

Defines and documents customer business functions and processes.Consults with functional unit management and personnel to identify, define and document business needs and objectives.

Acts as a liaison between different departments of the firm to ensure the system design fits the needs of the users.Identifies opportunities for improving business processes through information systems and / or non-system driver changes.

Assists in the preparation of proposals to develop new systems and / or operational changes.Assists in developing an overall change management strategy for the organization.

Composes letters, memorandum, develops charts, graphs, and diagrams.Answers telephone, takes messages and answers inquiries within assigned scope of responsibility.

Schedules appointments, maintains calendar, allocates supervisor’s time.Job Skills & Abilities : *Has high proficiency in office administration including filing and record keeping.

Has an experience in all secretarial works, document controlling, and following up, analyzing, evaluation project progress and making reports.

Required Qualifications : *10 years of experience in the field of Document Controller / Secretary.Has high proficiency in office administration including filing and record keeping.

Has an experience in all secretarial works, document controlling, and following up, analyzing, evaluation project progress and making reports.

Can undertake complex technical support tasks with limited supervision such as drafting, graphic design, engineering support, site inspections, IT network administration, document control, KPI computation.
